Meetings & Events – Terms & Conditions

By accepting the quotation you are agreeing to the following T&Cs:

Payment

The price for the Event shall be displayed on the quotation including any taxes and deposits due. The Event shall be paid in line with the payment terms as follows:

For bookings over £1000

A non-refundable £500 holding deposit is required to hold the date for 14 days. An invoice will be raised and is required to be paid in full within 1 month of the event date. The £500 deposit will be deducted from the final balance.

For bookings under £1000

Any events, meetings or conferences under £1000 will need to be paid in full at the time of booking.

Final Payment Due Date

Outstanding balance payments must be made at least one month prior to the meeting or event date. If you make a booking within one month of the date, full payment must be made before the booking is confirmed. We accept payment by BACS, and all major Credit and Debit Cards. In the event payment is not received, we reserve the right to cancel the booking with no liability to you. You will be charged for the full booking even if you choose not to use the meeting rooms for the full duration of the booking.

Any additional services or products required on the event day (subject to availability) must be paid in full at the time of purchase. We do not offer tabs or credit facilities. This is a cashless site

Confirmations and guest numbers

The final details of the Event (such as final timings, menus, guest numbers and special requests) must be confirmed at least 21 days before the Event. Events booked within 21 days, must be confirmed at the point of booking.

If, before 21 days from the Event Date, participant numbers reduce, this can accommodated up to a maximum of 5 participants* provided minimum participant room numbers are still achieved (space minimum numbers confirmed on request). Increases to participant numbers can be accommodated on request, subject to available capacity.

Cancellation by client

If the Client wishes to cancel the Event, written notice must be given to Hartham Park (Cancellation Notice). A Cancellation Fee may be charged in accordance with the following provisions of this clause. You can cancel your event for free, if the cancellation occurs up to 2 months before the event date

Cancellations between 2 months and 1 month, are payable at 50% of the total booking. Cancellations made 1 month or less before the booking are payable at 100%.

*This reduction cannot be accepted in the case of a cancelled event
